By categorising agenda items based on two key dimensions—whether they require strategic thinking or simple information sharing, and whether they need collaborative alignment or are primarily updates—teams can make better decisions about how to structure their meetings and respect everyone's time.
For each agenda item or discussion topic, follow these simple steps:
Determine if it requires strategic thinking or simple information sharing (Strategise vs Socialise)
Decide if it needs collaborative alignment or is primarily an update (Align vs Update)
Place it in the appropriate quadrant of the matrix
Allocate time according to the recommendations for that quadrant
Maximised meeting value - Ensure that synchronous time is used for topics that truly benefit from real-time collaboration
Reduced meeting fatigue - By moving appropriate topics to asynchronous channels, you can shorten or eliminate unnecessary meetings
